Job Description
Summary

In accordance with the goals and initiatives set forth by the Company and Document Control Department; the Document Controller will be responsible for managing company documents, adhering to the company's document procedures and archiving inactive records in accordance with the records retention schedule.

Principle Responsibilities and Duties
  • Maintain control of documentation related to engineering and manufacturing documentation
  • Generate Bill of Material (BOM)
  • Pull vendor documents from the BOM
  • Update vendor folder with revised documentation as needed
  • Build Electronic Data books for all Engineering Groups
  • Print, assemble and ship project IOMs
  • Process incoming and outgoing documentation
  • Build relationships with Internal and External Stakeholders
  • Track contractor and vendor deliverables throughout the project
  • Work with vendors to ensure deliverables on projects are being received per deliverables list
  • Ensure alignment with the Document Control procedures and ensure any deviations are tracked and controlled
  • Provide back-up document control support on other projects
  • Ensure that every metadata field is accurately maintained and updated in each Master Deliverables Register
  • Prepare and update weekly status reports
  • Responsible for training DC Team members on daily task as assigned by Supervisor
  • Collaborate with the DC Supervisor to develop Document Control and Project instructions guides for each newly awarded project
  • Adapt work schedule based on project document control needs- Document Controllers will be required to periodically adjust regularly scheduled hours to support clients and engineering teams
  • Oversee archival services such as: Organizing and categorizing legacy project documents. Assist with coordinating pick-up and retrieval of paper documents to/from a service provider such as Iron Mountain
  • Provide weekly reporting for the project and client needs.
  • Meets all document control deliverable timelines as specified by the Engineering Project team and Document Control Supervisor
Qualifications
  • High School Diploma or GED
  • 5-10 years' experience in an Documentation Control environment
  • Exposure to the oil & gas industry would be preferred
  • Knowledge of Microsoft Office including SharePoint
  • Experience with Adept and Wrench Doc Control Systems a plus
  • Excellent verbal & written communication and customer service skills
  • Experienced with working in an environment demanding strong organizational, and interpersonal skills
  • Demonstrated self-motivation, ethical behavior, and team player
  • Willing to continuously and proactively collaborate, share, and seek guidance through open dialogue
  • Having a positive attitude, and a desire to learn and be challenged
Physical Requirements
  • Fast-paced general office environment-Many tasks have high degrees of time sensitivity
  • May be exposed to confidential information
  • May be required to work non-standard hours including evenings and weekends
