Job Description

We are seeking an entry-level office administrator and project support specialist to join our team in The Woodlands, Texas. Duties of this role will include administrative duties to assist office management as well as ancillary duties to support successful submittal of project deliverables for the Mott MacDonald Energy Networks Unit.

These roles will include the following tasks:

- Administrative duties as required to support office management and operations:

- Receive and sign-in guests - Inventory and purchase office supplies

- Manage conference room reservations

- Assist project managers with meetings

- Assist office manager with safety and office continuity documentation

- Organize storage areas

- Assist with onboarding new staff -

Communicate with building management

- Project support duties to assist with deliverable preparation, data management, and document control activities:

- Format and perform document quality checks before issuance

- Collating electronic documents

- Ensure that the quality check and review procedures for all document submissions are being implemented and followed by the project team

- Manage incoming and outgoing documents including registers, tracking, distribution, and delivery of both paper and electronic versions

- Work directly with project teams coordinating and transmitting deliverables to clients in a time-sensitive manner

- Work directly with clients and project teams to ensure that contractual requirements are met for document management including document transmittals, tracking, storage and quality assurance

Candidate Specification:

Experience in administrative duties and document management and possess the following skills and experience:

* Post-secondary diploma, or equivalent demonstrated experience

* Proficiency in computer skills including experience with PDF editors and Microsoft Office (Outlook, Excel, Word and Power Point)

* Proficiency in verbal and written communication with a high degree of attention to detail * Effective multitasking and organizational skills

* Must be self-motivated and a team player * Ability to maintain business-related confidentiality and discretion
