  • Responsible for the day-to-day management of the document control system.
  • Researches, recommends, and implements all necessary procedures for optimum and effective document management.
  • Initiates and maintains liaison between engineering, project management, field operations, clients, partners, subcontractors, and vendors in regard to document control.
  • Attends, documents, and assists in project progress meetings; keeps project progress meeting minutes.
  • Integrates customer document control requirements into Matrix Service document control systems when required.
  • Manages the document control distribution function to ensure that all documents and drawings sent, received, or archived are properly controlled and maintained within master records.
  • Prepares and issues document packages in accordance with project requirements and project schedules.
  • Maintains internal and external communication records for project-related documents, such as, but not limited to engineering calculations, drawings, inspection test plans, specifications, project procedures, project reports and correspondence, , requests for information (RFI), technical inquiries (TQs), subcontractor and vendor documentation.
  • Works with appropriate Project Management personnel regarding scheduling and document control at job startup.
  • Assists in conducting internal audits and inspections to ensure department work is performed correctly, efficiently and cost consciously.
  • Provides direction and training to other department personnel who use the document control system.
  • Performs additional responsibilities, as directed.
Qualifications
  • 3+ years document control management experience or 5+ year's related experience if no degree. Previous experience in an engineering or construction environment preferred.
  • Previous experience developing and maintaining document control procedures, as well as knowledge of recordkeeping procedures.
  • Previous record management certification and/or training, such as Records Management Training by National Archives and Records Administration (NARA) preferred.
  • Strong analytical and organizational skills; excellent interpersonal and communication skills, both verbal and written.
  • Strong computer skills, including MS Word, Excel, Word, and SharePoint; experience with a document control software such as Hexagon SDx strongly preferred.
  • Understanding of engineering and construction industry practices, processes, and standards and their impact on project activities.
  • Demonstrated ability to apply innovative and effective document management techniques to maximize performance.
